Bottom line up front: the washroom and the pantry are what staff notice first. Clean the washroom daily in a busy office and two or three times a week in a small one. Clean the pantry on every visit. A five-minute check of the dry floor, the mirror, the bin liners and the sink tells you whether the visit was done. Write who restocks supplies into the contract.
TL;DR
- Washrooms set the frequency. They are the first place a missed visit shows.
- Pantries need every visit, with a deeper pass monthly for the fridge and microwave.
- Smell usually means scale or a drain, not a missed wipe. Descale the fittings and clean the floor drain.
- Use a five-minute check to confirm a visit was done.
- Name who restocks soap, tissue and bin liners.
How often should an office washroom be cleaned?
Match the frequency to the number of people using it. In an office where many people share one washroom, daily cleaning is the practical minimum, because a day without it is visible by lunch. In a small unit with a handful of users, two or three visits a week with a quick restock between them is usually enough. Our small office cleaning guide sets out the full weekly rhythm for a 10-desk unit.
Many multi-tenant buildings clean the common washrooms for all tenants. Check your lease. You pay for cleaning only the washrooms inside your own unit.
What should an office washroom clean include?
| Area | What a proper clean does |
|---|---|
| Bowls and urinals | Cleaned inside and out, with scale removed from the waterline and the urinal trap |
| Basins and taps | Descaled, wiped and dried |
| Mirrors | Cleaned, with no streaks or splashes |
| Floor and floor drain | Mopped to the edges, drain cover lifted and cleaned |
| Partitions and door handles | Wiped, since these are the surfaces everyone touches |
| Dispensers and bins | Bins emptied and re-lined, dispensers wiped and refilled if the contract says so |
A washroom that has gone past what a routine wipe can recover needs a one-off chemical clean. Our toilet and washroom deep cleaning removes the built-up scale, and the routine visits then keep it from returning.
Why does an office washroom smell even after it was cleaned?
Usually because the cause was never cleaned. Mineral and urine scale build up on bowls, urinals and traps, and they hold odour. A floor drain with a dry or dirty trap does the same. A surface wipe makes the room look clean while the smell stays. Ask the provider whether the scope includes descaling the fittings and cleaning the floor drain, and how often.
What should an office pantry clean include?
- Counter and sink, wiped and descaled
- Microwave, cleaned inside and out
- Fridge handles and door seals, wiped every visit. The inside of the fridge is a monthly job, after staff clear out their food
- Coffee-machine area, degreased
- Cabinet fronts, wiped
- Bins and floor, emptied and mopped
The pantry is the area that gets neglected fastest. Our office cleaning service treats the pantry on every visit, not once a month.
How can you tell whether a cleaning visit was done?
A five-minute walk covers it. Do it on the morning after a scheduled visit.
| Check | What done looks like |
|---|---|
| Washroom floor | Dry, with no dirty edges or footprints |
| Mirror | Clear, with no spots at the edges |
| Bowls and urinals | No ring at the waterline |
| Bins | Empty and fitted with a new liner |
| Dispensers | Soap and tissue stocked |
| Pantry sink | No scale or food residue, taps dry |
| Microwave | Clean inside |
Keep a simple log on your phone. If the same item fails twice, raise it with the provider and ask for it to be written into the scope.
Is cleaning the same as disinfecting?
No. Cleaning removes dirt and scale. Disinfection is a separate treatment with its own method and product. A routine washroom clean does not include it unless the contract says so. Our guide on disinfection vs cleaning explains when an office needs it, and the disinfection service covers the treatment itself.
Who should restock soap, tissue and bin liners?
Name the owner in the contract. With a cleaning company the options are: the crew restocks from stock the office supplies, the company supplies and bills the consumables, or the office restocks. All three work if they are written down. A contract that is silent on it leaves a washroom without soap on a Wednesday afternoon.
What should you check before you hire for washroom and pantry cleaning?
- the provider's NEA cleaning business licence, from NEA's published list
- the frequency for each area, written into the quote
- whether descaling and drain cleaning are in the routine scope
- who supplies and restocks consumables
We see the space, you tell us what gets missed, and we send a fixed price with the full scope in writing. Our in-house crew brings the equipment and chemicals. If you are setting up a new office, our guide to cleaning a fit-out before move-in covers the first clean.

Frequently asked questions
How often should an office washroom be cleaned?
Daily in an office where many people use it, and at least two or three times a week in a small unit, with restocking between visits. Washrooms get the first complaints when a visit is missed, so they set the minimum frequency for the whole contract.
What should an office pantry clean include?
The counter and sink wiped and descaled, the microwave cleaned inside, fridge handles and the coffee-machine area degreased, cabinet fronts wiped, bins emptied and the floor mopped. The fridge interior is usually a monthly job.
Why does an office washroom still smell after it has been cleaned?
Scale builds up on bowls, urinals and drains and holds odour, and a wipe does not remove it. A descale of the fittings and a clean of the floor drain deal with the cause.
Who should supply toilet rolls, soap and bin liners?
Name the owner in the contract. Some providers restock them, others only use what the office supplies. Leaving it unwritten is the most common reason a washroom runs out mid-week.
